Judge a HubSpot WhatsApp integration by the timeline a month later, not the demo

I have watched a lot of people choose a HubSpot WhatsApp integration, and almost all of them choose it in the first ten minutes. They install a WhatsApp HubSpot Chrome extension, open WhatsApp Web, see a neat little HubSpot panel appear next to a chat, and feel that the problem is solved.

I understand the feeling, because I have built one of these tools and I know how good that first moment looks. But I have come to believe it is the least useful moment to judge anything. The panel tells you the extension can read HubSpot. It tells you almost nothing about whether your CRM will be any better in a month.

The test I wish more people ran

Here is the test I now suggest to anyone comparing tools, including people comparing us against the others. Install it, use it for real selling for four weeks, and then open five random contacts in HubSpot that you spoke to on WhatsApp during that time. Do not open the ones you remember. Pick them blindly.

Then ask a simple question. If you had never seen these chats, could you understand what happened with this customer from the timeline alone?

If the answer is yes, you have a real way to log WhatsApp messages in HubSpot. If the answer is that you can see a few notes someone typed, or nothing at all, then what you bought was a nicer window into HubSpot, not an integration. Those are both fine things to want. They are just not the same thing, and the price tag rarely tells you which one you are getting.

A trial that went the way most trials go

Let me describe a scene. The people are invented, but I have had this conversation more than once.

Pieter runs sales for a solar installer with six reps. He trialled two extensions side by side, one rep on each, for most of a month. Both demos had gone well. Both showed contact details next to the chat, both let you create a contact in a click, and both had friendly onboarding.

When he called me, he was not asking which one had more features. He was a little confused. One rep’s HubSpot records were full of conversations, quotes, and the photos customers had sent of their roofs. The other rep’s records were mostly empty, apart from three notes written in a hurry on a Friday. The second rep was not lazy. The tool just needed him to remember to press a button on every chat, and in the middle of a busy week, nobody remembers.

That is the part a demo can never show you. In a demo, the person driving always remembers to press the button.

What actually makes the difference

When I strip it back, I think a WhatsApp CRM for HubSpot lives or dies on three quiet things.

The first is whether logging happens without someone having to decide to do it every time. Reps should choose which chats belong in HubSpot, and that choice should be visible to the team, but once a chat is linked, the messages should keep flowing onto the record on their own.

The second is whether the messages land in the right place. A conversation that ends up on the contact but not the deal, or on a duplicate contact created because a number was saved slightly differently, is almost as lost as one that never synced.

The third is whether the media comes along. In a lot of WhatsApp selling the important thing is not the text. It is the photo of the site, the voice note explaining the budget, the PDF of the signed quote. If those stay on the phone, the timeline is telling you half the story.

None of these are exciting to show on a sales call. All of them are what you will feel in month two.

A note for people searching for alternatives

A lot of people find this blog by searching for a Cooby alternative or another WhatsApp HubSpot alternative, usually because something about their current setup is not working. I am not going to tell you that every other tool is bad, because that would not be true and you would not believe me anyway.

What I would say is this. Before you switch, run the five blind contacts test on what you have now. If the timeline is full and the problem is price or a missing feature, that is a different decision. If the timeline is empty, switching to another tool that works the same way will give you the same empty timeline with a new logo on it.

Why I care about this so much
